The Event
Xcelerate 2025
Xcelerate is Energy Exemplar’s flagship event. This event is produced multiple times a year across the globe, in Asia, Europe, and the United States. This iteration brought together 360 plus energy professionals from 128 different countries to the J.W. Marriot Desert Ridge in Phoenix, Arizona for inspiring keynotes, in-depth trainings, networking opportunities, and expert-led roadmap sessions. It was an action packed 3.5 days.
The Challenge
Splitting the General Session Room into Two
Each time this event is produced, certain components need to remain consistent so the event keeps its brand identity. Part of this is the printed hard drops, the other is an ultra-wide stage that spans close to the width of the room. The show agenda called for splitting the joined ballrooms apart during the lunch break on the second day of sessions to allow two-track sessions to run that afternoon.
The Solution
Pre-Event Coordination
The Visual i team engineered a solution allowing the two video walls on the main stage to be used for each track session, and keeping the LED lighting around the stage intact.
Through thoughtful planning and collaboration from the crew leads, we closed the air walls between the two ballrooms and completed tech checks, all in under 45 minutes, before attendees finished eating lunch.
An Approach that Works
Why This Event Was Successful
The Energy Exemplar events team produces so many events per year, their expertise shows. Despite that, there are always small nuances between events, especially on the AV side. That’s where our expertise came into play. We started collaborating 5 months before the load-in, this allowed us to tackle the nuances of this show, like splitting the General Session Ballrooms in two.
Getting to know the Energy Exemplar team prior to the event, there was a camaraderie in our relationship when both teams met on-site that made the 3.5 days in Phoenix, very enjoyable.
