Venue Coordination

We learn the venue inside and out, connect with the in-house staff to coordinate load-in, power requirements, internet bandwidth, and other key details.

Execute

Our crew arrives early for full setup & testing and support presenter rehearsals. From there, your technical director manages the production details and the show.

Post-Event Delivery

After the event, we handle full strike and deliver your post-event assets (recorded sessions, streaming archives, or edited content).

Services include pre-event technical design, site visits, complete AV equipment (LED walls, audio, video, lighting, staging), professional technical staff, setup/operation/strike, rehearsal support, backup systems, and recording/streaming if requested.

Yes, depending on staff and equipment availability. We’ve produced events with 1-2 weeks notice. However, optimal results come from 4-8 weeks for standard events and 3-6 months for large conferences or peak season dates. The more our team gets to collaborate and learn about your event, the better the outcome is for your team and ours. 

In most Dallas hotels, yes. Hotel in-house AV typically pays 25-40% commission, inflating prices. We’ve worked in plenty of Orange County hotels and can advise on specific policies and help negotiate favorable terms.
